Situation

The U.S. Soybean Export Council (USSEC) focuses on elevating the market for U.S. Soy in human consumption, aquaculture, and livestock feed in 80+ countries internationally. 

To accomplish this, USSEC manages thousands of contracts and agreements among its members and vendors. Project managers submit requests for contracts which are often time sensitive. When USSEC first engaged with CSG, the process they had in place was extremely manual and involved filling out and emailing multiple forms and files. Their goal in working with CSG was to reduce the average days to completion without adding to head count, and reduce the number of errors Project Managers made during the contract submission process. 

Solution

CSG developed a custom solution for the contract request workflow that centralized and standardized the request process, provided visibility to the organization on the status of each request, and provided performance metrics to allow for continuous improvement in their processes and training.

Since the implementation of the solution, the average contract completion time has dropped from 50 days to under 20 days even with an increase in the number of contracts processed and with no increase in headcount. The Contract Processing Specialists can also now complete their compliance with increased confidence and send out for signatures on the same day as the request was received.
